How much to charge for office cleaning

Most commercial cleaners price office cleaning as a contract. They work out a price per visit from the floor area and the washrooms, multiply it by the visits per week and bill monthly. The example prices below are for one week of cleaning.

How commercial cleaners set their prices
Per square foot, per visit
A rate per square foot for each visit, with washrooms and kitchens charged on top. Office managers can usually find their floor area in the lease, so they can follow your maths.
By production rate
Time how many square feet one cleaner covers in an hour and divide the floor area by that figure. Price the hours at your labour cost plus overheads and profit. Many commercial cleaners bid larger contracts this way, because the price follows the real work.
Monthly flat fee
One price a month for an agreed schedule. Clients like a fixed line in their budget, but write down what each visit covers so extra requests are billed separately.

Pricing mistakes to avoid
- Pricing by floor area alone. Washrooms and kitchens take far longer per square foot than open desks, so two offices of the same size can need very different hours. Our template adds $15 per washroom and $20 for a kitchen to every visit (US prices).
- Supplying consumables at no charge. Toilet paper and hand towels add up fast in a busy office. Agree who buys them, and if it's you, bill them at cost plus a margin.
- Folding periodic work into the weekly price. Carpet shampooing and floor stripping don't happen every visit. Price them as separate jobs, or clients will expect them for free.
- Signing a contract with no review date. Wages and supply costs go up. Build a yearly price review into the agreement.

Questions
- Should I charge per square foot or by the hour for office cleaning?
- Work out the hours first, then quote per square foot or as a monthly fee. Clients compare bids on the total, but the hours tell you whether the price covers your wages.
- How do I turn a weekly price into a monthly one?
- Multiply it by 52, then divide by 12. Multiplying by 4 misses four weeks a year, close to a month of cleaning you'd do for nothing.
- Should daily cleaning cost less per visit?
- A little. An office cleaned every weekday doesn't build up as much dirt, so each visit is quicker. Our template prices five visits a week at 4.6 times one visit, about 8% off each.
- Do I need to see an office before quoting?
- For big sites, walk through before you bid, counting washrooms and noting floor types. Smaller offices can be priced from the floor area and washrooms, then confirmed on the first visit. Our template shows a range from 5% under to 10% over to allow for that.
- Can I put office cleaning prices on my website?
- Yes, as a weekly estimate. A quote form asks for floor area, washrooms and visits per week, then shows a price range. The offices you walk through already know roughly what you charge.
